Product design
We helped Asimovo simplify their SaaS platform by analyzing the system, fixing the key flows, and designing clear, scalable flows by creating a design system.
Challenge
Asimovo, a smart platform built to help robot engineering teams create and launch intelligent robots faster, ran into a big challenge. After months of in-house development, the SaaS platform had become very complex with lots of features. But as new tools were added, it became harder for users to understand and use the system easily. Users found it confusing to navigate and get the most out of it.
The Asimovo team realized they needed fresh eyes to help simplify things and bring clarity back to the product, with plans to further expand the platform in the future.
Approach
We partnered with Asimovo for a three-month collaboration focused on simplifying the whole user experience without compromising the platform’s advanced capabilities.
Our first step was a deep dive into the current state. We mapped the technical platform architecture into a detailed flowchart, creating a shared understanding between product, business, and development teams.
By systematically visualising the system end-to-end, we were able to identify critical problem areas. After mapping the current setup, we created a new flowchart, then redesigned each flow one by one to streamline the system and make it potentially scalable by setting up a design system.
During the iteration, we continuously presented results and held sessions to gather feedback from the CEO and CTO, ensuring business perspectives were incorporated throughout the process.
After completing the most important parts, we continued working together on a flexible basis, supporting the team as needed and providing input on improvements.
What we found
Duplicate flows: Several user journeys were doing the same job but in slightly different ways, creating confusion. We proposed streamlined, combined flows to reduce cognitive load.
Unlogical information collection: The platform asked users for too much input at the wrong moments, often interrupting the natural flow and slowing down the experience.
Inconsistent UI: Without a design system, it was difficult to design, iterate, and test solutions quickly and consistently across the platform.
No clear sprint structure: Work was handled mostly ad hoc, which was understandable in a dynamic environment, but we discussed ways to bring more structure without losing flexibility.
Unclear labeling: Labels were often confusing, with the same terms used in different flows, leading to user frustration.
Overload in dashboard: there were too many irrelevant items displayed, and data visualizations were not presented clearly
Results
Redesigned key user flows to reduce complexity and prioritise essential actions
Improved onboarding and navigation
Developed a clear wizard for setting up robot configuration, where we combined large amounts of data into an intuitive flow
Laid the groundwork for a design system to speed up design and development cycles
Recommended improvements to the sprint process, enabling faster, more structured delivery moving forward
Redesigned the dashboard to focus on the most relevant information, improving guidance for users and making data visualisations clearer and easier to understand.
By the end of our collaboration, the Asimovo team had a clear roadmap and design foundation to continue evolving their product with confidence—without adding unnecessary complexity.
